I am trying to organise a seniors open day but not getting any help from the commitee, just putting stumbling blocks in front of me.
I am trying to run a Ladies senior on the same day,is there any on can tell me my best course of action,i know i need to do circulars to other clubs but is the prizes payed for by the entrance fee?etc I want to put a complete plan to the committee so they are just left to give me a day...can you help please?

Hi rapper
you need to be self funding - so that the open pays for itself and the only thing you ask the committee for is the tee times
seems odd they dont want to support you as you will be bringing people into the club on a quiet day (I'm assuming cos its seniors then you'll have the event mid week) which will boost bar and food takings. If you can also give a donation to club funds from the event then surely they will be more supportive.
make sure you cost the day as effectively as possible to show them how profitable it will be
and also check the clash diary - make sure there are no other events nearby on the same day!

best of luck! :)

thanks Heide the ladies are trying to organise one as well..
Self funding? isnt that covered by the entry Fee?
Cost the day effectively?how do we cost it properly?
Donation to the club ?where should that come from?
would sponsorship help if we could get it ?
And would we need to know how mant entries there would be and if so how do,we do that/
Thanks for all your help and if you would like me to give you my email address to help us as it seems you have had some experience with organizing an open day...

Self funding? Income less Expenditure = not less than £0
Cost the day effectively? Ensure the above happens but make it a sensible price
Donation to the club ? Refer to the above
would sponsorship help if we could get it ? It would increase income, so yes
And would we need to know how mant entries there would be and if so how do,we do that? You should be able to work out the above using various numbers 20, 40, 60, 72 - it would be pretty much pro-rated anyway

OK - you need a BIG bit of paper for your plan!
First of all why would seniors want to come and play your course - whats the unique selling point? Is it a good course? great clubhouse and grub? cheap beer? big car park!?
dates - need to check all the dates of opens near you - no point in competing if you have the same date as someone else. Use whatever you can to check - other clubs websites, golf empire - i also use SGU central and yellow book (for Scotland).
Now make a list of all the clubs nearby, websites and contact details for the seccy. Time for some donkey work. Phone them or email. ask how big their senior sections are - do they travel to opens, private cars, bus organised by club, how many would likely come to your open if the date was xxx and the price was yy. Would they want catering? How do you get to your target audience? poster? email to the seccy who will distribute it for you?
Price of your open - what is the usual price? can you justify a larger entry cost? what food and drink are available?
type of comp? stableford, medal, foursomes, greensomes, tex scramble?
then do your budget. Number of entries expected times the entry price. how much do you have? how much can be spent on prizes? will someone sponsor prizes? Per hole? One open i go to has a member sponsoring each of the holes - longest drive, nearest pin, nearest pin in two etc - prizes can be small like 12 balls. I like prize a hole - it can give the open an 'edge'!
donation to club funds - whatever is left over can go back to the club
Sponsors could sponsor a hole and have their name on the tee box, or in the bumf you give the entrants. Or they could donate raffle prizes. Raffles can bring in a few hundred quid alone. budget for each person to buy one ticket of £1. Most people buy more than that - but best to under budget.
Organisation on the day - make sure you have enough people to man the desk. if everyone wants to play, then have the ones out early manning later in the day. Or ask the ladies to man for you and you'll do theirs.
Have a starter on the tee box announcing the players - i like this wee touch too ;)
Make sure you have someone to take in the cards, and if you're using club 2000 software or similar then you dont need to photocopy cards - people's handicap adjustments will go back to their home clubs.
Weather - start praying now ;)
am sure there is much much more you can do - but that will give you a feel for the hard work you and a few colleagues will have to put in to make the day a success

best of luck!

Heidi

I've been looking for someone like you for most of my life.

Will you ....

Will you....

Will you ....

Will you, will you be my PA?

Heidi's list just about covers it and covers most of the items our senior's open do.
May I sugest that you look to do it next year and some of your seniors and youself to enter a few opens this year and see what they do. Try and talk to the open organizers for advice when you meet them. Try and contact every secretary/pro/senior secretary at each course say within 30 - 40 mile radius and ask for their open details. You will then have all the contacts for next year's invitation to yours.
Almost all senior's opens I have been to are individual stapleford, full handicap plus nearest pin and longest drive.
Good luck and if you have any questions feel free to PM me.
